Procedure for Concluding Inter-Institutional Agreements under the Erasmus+ Programme

Purpose:
To ensure a uniform procedure for establishing cooperation and signing inter-institutional agreements within the Erasmus+ programme and other forms of academic exchange.

Scope:
This procedure applies to all units of the University of Zielona Góra involved in the process of concluding and implementing partnership agreements.

Procedure:

1. Establishing contact with a partner university – initiative: Deans of Faculties, International Relations Office (DWZ), Departmental Coordinators, other UZ staff members.
2. Agreeing on the terms of cooperation – determining the programme and fields of study, availability of language courses, planned number of mobilities for students and staff, persons responsible for agreement implementation on both sides, support procedures (visas, insurance, accommodation), monitoring and evaluation of cooperation, contact persons.
3. Initiating cooperation – the Dean of the Faculty submits a letter to the Vice-Rector for Science and International Cooperation indicating the partner university, scope of planned cooperation (fields), expected number of mobilities, and substantive justification.
4. Approval – after a positive opinion from the Vice-Rector for Science and International Cooperation, the University Erasmus+ Coordinator (or, in case of absence, the Head of the International Relations Office) enters the data into the EWP Dashboard system (agreements with programme countries) or prepares a paper version of the agreement (agreements with partner countries).
5. Paper agreements are prepared in accordance with the applicable Erasmus+ agreement templates.
6. After the content is agreed with the partner institution, the agreement is approved and signed by the authorised persons: Rector / Vice-Rector for Science and International Cooperation, EWP Dashboard – International Relations Office staff member.
